Recruiting Process Phase - 5


Phase V – Submitting Candidates to Requirements
1. Try to identify the best 3 profiles that you think that will definitely liked by the client and you have verified in all aspects like that they will not walk out before the contract term, they are talented and they are best fit for the job requirement.


2. Please submit the best top 3 profiles to your recruiting manager to review and submit to client and pass all the information that what you think about of each submission for the same requirement.


3. Recruiting manager from his/her experience will give you recommendations and suggestions and feedback on each of your submissions.


4. If it is approved for submission to the client then try to maintain that standard at least on your subsequent submissions.


5. If your manager rejects any submitted profile with comments and suggestions. Please take into positive spirit and try to overcome those challenges in your next submission and maintain good turnaround time in submissions those are qualified submissions.


6. If you could not submit the needed 3 profiles for each requirements that you have worked on. Try to absorb the points and analyze the situations and see where the issues were and why you could not submit 3 profiles and for the current submission – do your best. But on the back burner you need to research on that requirement on how you solve that mystery and take your time to come up with strategies and keep trying to accumulate some good profiles for those not submitted requirements and collect some pool of resumes in your database. So that if next time that similar requirement pops up, now your earlier pre-planned search will help you to now directly submit the existing profiles in which you know the consultants are ready. Also if not the profiles you already have but your continuous analysis would led you to add more tools and tricks to find suitable resumes in much faster time this time.


7. Improvement on quality of submissions and in time is a continuous process of learning new ways, new techniques, best practices, looking the requirement each time in different perspective and try to knock out the requirement will keep the recruiting thrilled and anxiety to learns and acquire new ways to get to produce best 3 profiles to your manager.


8. Please be aware that you continuously improve in below criteria
Quality of submissions i. Submit a qualified resume ii. Properly formatted resume iii. Adhere to submission guidelines iv. Right attitude of consultant v. Focus more on quality than quantity


9. When submitting profiles to the manager, please be sure to check on the following:
i. Remove the contact details from the resume.
ii. Format the profile properly. iii. Save the document name as <name>_<skill>.doc. iv. Make sure all the key skills are highlighted properly. v. Make sure his experience and quick summary of the consultant is shown on the first page of resume. vi. Please include appropriate subject line for email to show "Client Name - Position ID - Position Title - Candidate Name – Submission” to track the trail of email down the road. vii. Also please include the original requirements in email body. viii. Please include few comments into email body about the consultant that you noted which can act as selling points as well as to show strength of the consultant. ix. Please reply to the original email which you got from recruiting manager and ensure you include the "Position ID - Position Title - Candidate Name" in the email subject line and ensure the copy of the requirement is attached in the body of the email.


10. Please see that the submission email has following content for each consultant’s profile that will be submitted to the manager.
The body of email should have the below details: Hi Manager, Please consider consultants <name> for this <position>. 1. Full Name: 2. Present location: 3. Email Id: 4. Contact Details: 5. INS Status: 6. Availability: 7. Total IT Experience: 8. Total US Experience: 9. Ready to Relocate (Yes / No): 10. Rate on C2C to client: 11. Relationship with consultant: 12. 2 official references from recent project experience: 13. No of years experience in each mandatory and optional skill set: 14. Recruiter comments from notes: 15. Original job description received: 16. Attach the consultant profile: For any questions, please ping me and let me know any additional documents needed from me once you decide to submit the consultant. Thanks, <Recruiter Name> <Signature>
11. Once the manager gets the submissions, manager will review the resume on technical wise, contractual wise, market rate wise, references wise, recruiter comments wise and official status and then confirms his decision or gives the feedback if it is not further forwarded to client.


12. Once manager likes and decided on the profiles for submission then manager will let the recruiter know. And then evaluate any specific documentation that to be filled out in order to submit to the client. Then the manager will send all related information to the recruiter to fill out based on what he/she need to get the information from his notes or making call to consultant and then finally send all the additional info in client requested template.


13. On successful received of all the additional documentation, basic documentation, resume will be submitted to client by email and any online vendor management tool.


14. Manager will collect the NCA, Rate confirmation emails and any additional info in a folder so that all the information related to submitted consultant is at one place.


15. Now Recruiter will move on to next submission. Also recruiter builds his database by adding the submitted consultant details along with queued up short listed consultants as backup if something did not fly on first submitted consultants.


16. Below are additional tips to be aware of.
Tips for recruiter to increase closure rate: i. Always good to submit local candidate/if not nearby within 50 miles/last option submit a guy who is willing to relocate. ii. Submit the consultant within the Domain (industry). For e.g.: if the client is telecom industry try to submit a consultant who has worked in telecom industry in his previous projects. iii. Should have excellent communication skills.-----its must iv. Speed (aim to submit within 2- 3 hrs of receiving the requirement). v. Submit at competitive rates and stay always within market rate. vi. Submit at least 3 profiles to provide choice to client and recruiting manager
